The Role: Purpose and Impact

As the Senior Admin Clerk, you will be the central link in our supply chain recovery process. Your primary goal is to ensure the efficient management of backhaul schedules and the accurate recovery of dropshipment costs. You will play a vital role in protecting the company’s bottom line through meticulous budget reporting and invoice processing.


Key Responsibilities

1. Stakeholder Coordination & Communication

  • Bridge the Gap: Facilitate seamless communication between internal buyers, finance teams, transporters, and external suppliers.
  • Supplier Management: Manage supplier Service Level Agreements (SLAs), handle contracts, and oversee the onboarding process for new vendors.

2. Operational Logistics & Scheduling

  • Backhaul Optimization: Manage the Backhaul schedule and collaborate closely with Transport and Receiving teams to ensure all collections are on time.
  • Inventory Admin: Oversee the ordering and management of gate-pass books, stationery, and essential packaging materials.

3. Financial Recovery & Reporting

  • Budget Oversight: Compile and analyze monthly Dropshipment and Backhaul budgets, ensuring the Accounts Pack is perfectly aligned.
  • Invoice Processing: Handle month-end processing and submission of all relevant invoices to ensure timely payment and recovery.
  • Rate Management: Update and communicate Backhaul rates to suppliers on a monthly basis.

4. Continuous Improvement

  • Data-Driven Insights: Report on Backhaul performance statistics to help various departments identify trends and implement operational improvements.

Senior Admin Clerk Minimum Requirements

To be successful in this role, you should possess a strong administrative foundation and a solid understanding of logistics finance.

Qualifications & Experience:

  • Education: Grade 12 (Matric) certificate is essential.
  • Experience: 2–3 years of proven experience in Logistics Administration or Financial Administration.
  • Tech Savvy: High proficiency in MS Office, with advanced Excel skills for data analysis and reporting.

  • Financial Literacy: A basic understanding of budget management, invoice processing, and financial data interpretation.
  • Reliability: A demonstrated track record of attention to detail and consistent accuracy.
