Minimum Requirements
Minimum of Grade 12
Valid driver’s license.
Minimum of 2 years relevant working experience with buying and admin experience.
Ability to communicate with English.
Duties & Responsibilities
Check parts catalogue for proper identification.
Contact vendors to obtain quotes and prices.
Prepare parts requisition on Syspro.
Create GRN and GRV on Syspro
Receive shipments from vendors
Check vendor packing slips / invoices for accuracy.
Enter receipts and distribution of parts / supplies into computer.
Issue replacement parts to mechanics / Depots.
Assist mechanics in choice of parts.
Receive and complete all job cards on Freeway system.
Do oil and lubrication stock sheet and balance.
Assist Depots with parts and consumables needed.
Conduct periodic stock takes.
Replenish stock as shipments arrive.
Order and receive of bulk fuel.
Capture tyre job cards on Pro wheel.

Job Description

RCL FOODS is on the hunt for a Debtors Clerk to join our Baking team in Benoni. The successful incumbent will be responsible to facilitate the achievement of customer collection targets, essential to the profitability of the Company and manage overdue accounts, reduce the Company’s risk and minimize losses.
Minimum Requirements
Must reside in or around Benoni.
A relevant Degree/Diploma in Finance.
Knowledge of SAP/SYSPRO would be advantageous.
Be proficient on Microsoft Outlook, Word, Excel.
Duties & Responsibilities
Credit Control
Generate and dispatch invoices or POD’s on time to enable payment.
Receive remittance advices from customers and allocate appropriately, daily
Clear all allocated cash in the General Ledger.
Matching all debits and credits on the ERP system.
Run statements on the ERP system prior to agreed monthly deadlines and distribute to customers.
Assist vansheet clerks on driver corrections
To assist FM/Accountant with administrative duties
Ensure that all adhoc duties are performed to the satisfaction of the FM.
Customer Administration
Maintain compliance to credit limits for each customer and highlight possible non- conformance to the responsible supervisor before they exceed defined limits.
Liaise with customers to inform them of the balances once statements have been distributed, to ensure interim payment is made or to assist with application/documents for increases in credit limits where indicated by the credit analysis report.
Report on all transactions on 60 days plus to the Credit Supervisor.
Process ‘stop supply’ instructions on the ERP system where customer non-payment payment has occurred, ensuring that all of the necessary instructions and authorizations have been received.
Where possible, liaise with customers to rectify account problems before “stop supply” instructions are implemented.
Advise customers when the account has been blocked and ensure that all necessary internal departments are aware of the status of the customer/account.
Process journals for the movement of driver payments.
Claim Processing
Investigate pricing claims on the ERP system, print invoices and review deals on the system.
Obtain authorization for valid deals on the prepared pricing cover sheet and distribute within the department.
Schedule the claim on the ERP system for pricing where no valid deal exists and provide supporting documentation to the relevant team members for processing.
Manage stock claims (returns, damaged stock, shortage etc.) by initiating the document flow.
Assess if credit has been passed on queries and, if it not, submit supporting documents electronically to the relevant site.
Ensure stock claims are tracked on the ERP system and that queries are finalised.
Manage invalid claims by providing the necessary proof or backup documents to the customer.
Update and maintain the Chain Store tracker for claims and ensure the credit notes are processed accordingly.
Sales Administration Function
Maintain electronic and paper-based customer records and information.
Verify pricing discounts with relevant account manager and implement.
On a weekly basis, investigate Syspro order discrepancies and liaise with National Account Manager and Channel manager, and implement corrective action.
Master Data – Ensure all supporting documentation is submitted and correctly completed for account creation.

Duties & Responsibilities
Strategy Execution
Work in conjunction with the Logistics managers, Regional Operations Manager, National Transport Manager, and Transport Manager to co-create the regional vehicle maintenance management framework.
Work closely with the Warehouse Management to ensure the delivery of an integrated supply chain benefit and strategic target achievement.
Drive the implementation of improvements in transport and vehicle maintenance to achieve significant gains in efficiency, fleet downtime and cost reduction.
Ensure the implementation of transport and vehicle maintenance policies and procedures across the region.
Workshop and Fleet Maintenance
Develop and implement the vehicle fleet maintenance roll-out plan for the region including a long term vehicle replacement program in conjunction with the Regional Operations
Managers and the Fleet Manager / National Transport Manager.
Ensure vehicle maintenance programmes adhere to company policy and manufacturer specifications.
Manage unplanned work resulting from vehicle breakdowns and emergencies, making sure they are dealt with in efficient manner by prioritising as required.
Ensure the effective management and maintenance of the regional workshop facilities, tools and equipment.
Ensure the effective management and maintenance of regional wash bay facilities, tools and equipment.
Compile and manage the regional workshop and fleet maintenance budget within prescribed parameters and standards.
Oversee the management and control of the regions workshop spares and tyre stock.
Tyre Management including repairs, re-treading, tyre matching, testing and evaluation.
Control and management of vehicle fines, AARTO compliance, vehicle annual Certificate of Fitness (COF) and vehicle licensing.
Monitor and control the workshop asset registers.
Manage the vehicle cleaning program and wash bays to meet these operational requirements.
Develop and implement an environmental strategy for the workshop, to include waste management, recycling and reuse of oil.
Define, formulate and implement Stander working procedures for workshops and wash bay facilities
Formulate and implement maintenance policies and procedures for all MHE, including battery maintenance.
Fleet Optimisation
Ensure effective forward planning through direct and regular interaction with cross-functional planning and operations teams.
Liaise with Transport and Logistics managers to agree and facilitate a MHE, vehicle and vehicle hygiene service program.
Monitor exception, vehicle check sheets and utilisation reports on a daily basis and follow up on non-conformances or inefficiencies to ensure fleet optimisation.
Ensure all vehicle hire is roadworthy
Direct investigations to verify and resolve customer complaints.
Conduct investigations in cooperation with government agencies to determine causes of transportation accidents and to improve safety procedures.
Accident scene investigations with transport managers and the clearance of the scenes.
Analyse regional vehicle maintenance costs and other financial information in order to implement plans, budgets and interventions that increase profits and improve services.
Negotiate and authorise contracts with equipment and materials suppliers, and monitor contract fulfilment.
Participate in daily management meetings to ensure alignment across regional operations.
Report to operational teams regarding cost, asset care, operating practices and best practices
Risk Management
Ensure compliance with the Occupational Health and Safety Act in the workshop and wash bays
Ensure the conformance criteria for vehicle performance and maintenance are adhered to.
Ensure compliance with applicable laws and regulations governing vehicle safety, environmental controls on fuel emissions, driver hours, customs requirements, and food, livestock and hazardous goods transportation.
Investigate and report all Injuries on Duty (IOD’s).
Investigate all vehicle accidents / accidental damage to vehicles and implement remedial action to avoid future re-occurrences.
Identify driver abuse and implement corrective action with the Transport and Logistics Managers
Cost Management
Manage and monitor the operating and maintenance costs associated with the fleet, wash bays and workshops and ensure they are in line with accepted benchmarks.
Analyse and investigate the cost of poor maintenance to determine and drive improvements
Team Management
Introduce a staff technical training program to ensure personnel are adequately trained for the tasks they are due to perform and are up to date with technical changes in the industry.
Monitor team performance and provide regular performance feedback.
Coach and support the team where necessary to achieve objectives.
Lead the team towards meeting the strategy and targets through regular communication and utilisation of the full organisational talent management tool set.
Address poor performance in individuals and teams in accordance with company policy and the relevant legislation.
Conduct regular meetings and ensure that records are kept and shared across the team and that action plans agreed to within team meetings are delivered upon.
